Log on as administrator. Click on any user's remarks field.
The "Change Remarks or Colors" window will open with a column of
colored buttons plus four extra buttons that other users never see. The
extra buttons are labeled "Delete", "Add", "Rename", "Close" and the
other two buttons show up and down arrows. These extra buttons allow
the administrator to add, rename, delete and move remarks.
- Changing the Background Color of a Remark
If you want to change the background color of a remark, click on the
remark to be changed. Select a color using the color button on the
right hand side of the window. The background color will change.
- Adding a New Remark
Select a remark above which you wish to insert a new remark. Click
on the "Add" button to enter the new remark. You can the background color
as explained above.
- Deleting a Remark
Click on the remark that you wish to delete. Then click on "Delete".
A small window will ask you to confirm your action.
At times, the "Delete" caption will change to "Rename" to indicate that
the remark can not be deleted. The "Rename" caption indicates that the
selected remark can only be renamed. This restriction applies to the
following remarks: "In", "Out", and "In but Unavailable", since they
are essential to the program operation.
- Using Active Fields
Remarks can contain active fields that automatically enter information or
prompt for information.
Active fields that are enclosed by {} brackets insert the current day,
time or date into a remark. For instance, "Left at {time}" might show as
"Left at 4:22:20". You can include additional text inside the {} brackets for
improved clarity. The {} brackets and all the text inside them are replaced.
For example, "Left at {the current time}" and "Left at {time} both produce the
same remark.
A second type of active field prompts the user for information.
These fields are enclosed by <> brackets which work in much the same way as
the {} brackets, except that the user is prompted to supply information.
Whenever "date" or "time" appear inside <> brackets, a window will display
a calendar or time grid to help you make a quick entry.
To create other customized prompt fields, insert the prompt text
within <> brackets. For example, include to prompt the user to
enter a location. When selected, a window will request you to enter a
location. An example would be "Gone to ".
Several active fields can be included in a remark.
- Moving a Remark to a New Position
Click on the remark that you wish to move. The up and down arrows will
turn red indicating they are active. Click on the appropriate arrow to move
the selected remark up or down the list.
